What is Qtell?

Qtell unifies your business systems into a single intelligent platform. We connect your CRM, marketing, finance, and operations systems so they share data and speak the same language. Then we layer intelligence on top: Ask Q lets you query your data in plain English, AI Insights surfaces what needs attention, and Data Activation pushes intelligence back into the tools your team uses.

Think of it as the missing layer between your existing tools and the decisions you need to make.

Who is Qtell for?

Qtell is built for growing businesses that have outgrown spreadsheets but can’t justify hiring a data team. Our sweet spot is businesses with:

  •  5-250 employees
  • Multiple systems generating data (CRM, marketing, finance, operations)
  • Teams making decisions without complete information
  • Leadership needing answers that currently take days or weeks to compile

We work particularly well with events, hospitality, venues, and multi-location businesses where operations are complex but margins are tight.

How is Qtell different from a BI tool like Tableau or Power BI?

BI tools help you visualise data. Qtell helps you create, connect, and unify the data first. Most businesses struggle not with dashboards, but with getting clean, unified data into those dashboards.

Qtell handles:

How much does Qtell cost?

We have three core plans:

Starter (£299/month)
For single-location businesses. Includes one site, one CRM connection, 8 pre-built intelligence dashboards, daily data refresh, and 3 users.

Professional (£499/month)
Everything in Starter plus 6-hourly data refresh, 5 users, and Lead Scoring & Attribution included.

Group (£799/month)
For multi-location businesses. Up to 5 locations, cross-location comparison, consolidated reporting, 10 users, plus everything in Professional.

Ask Q (£79/month) and AI Insights (£49/month) are available as add-ons to any plan. View our pricing here.

Are there setup fees?

Setup fees depend on your data complexity:

Clean data: Free (Starter), £199 (Professional), £499 (Group)
Your systems are well-maintained, data quality is good, integrations are standard.

Moderate complexity: £199 (Starter), £399 (Professional), £999 (Group)
Some data cleanup needed, custom field mapping, or non-standard integrations.

Complex: £399+ (Starter), £599+ (Professional), £1,499+ (Group)
Significant data quality issues, legacy systems, or highly customised implementations.

We assess your data during discovery and give you an exact setup fee before you commit.

What's included in each plan?

All plans include:

  • System connections and data pipelines
  • Customer identity matching
  • Pre-built intelligence dashboards
  • Ongoing data management and monitoring
  • Email support

Professional and Group add:

  • Lead Scoring (using data from all connected systems)
  • Marketing Attribution (first touch to revenue)
  • Faster data refresh (6-hourly vs daily)

Group adds:

  • Multi-location support (up to 5 sites)
  • Cross-location comparison
  • Consolidated group reporting

Can I add more users or locations later?

Yes. Additional users are £19/month each. Additional locations (on Group plan only, beyond the first 5) are £99/month per site. Additional CRM connections (Group plan only) are £299/month.

You can upgrade from Starter to Professional or Group at any time. We prorate the difference for the remainder of your billing period.

Is there a minimum contract?

Monthly plans have no minimum commitment. You can cancel anytime with 30 days’ notice.

Annual plans (paid upfront) save you two months: £2,990 for Starter (vs £3,588), £4,990 for Professional (vs £5,988), and £7,990 for Group (vs £9,588).

Implementation & Setup

How long does implementation take?

Most implementations take 2-4 weeks from contract signing to asking your first questions.

Week 1: System connections, data mapping, identity matching setup
Week 2: Dashboard configuration, data validation, user training
Weeks 3-4: Refinement, additional views, Ask Q training

Complex implementations (many custom fields, legacy systems, significant data cleanup) may take 4-6 weeks. We give you an exact timeline during discovery.

What's required from our team during setup?

We need:

  • System access (API keys, admin credentials for integrations)
  • 2-3 hours of stakeholder time for discovery calls
  • Answers about your business logic (what counts as a lead, how you calculate revenue, etc.)
  • Review and sign-off on dashboards before go-live

We handle all technical work. You focus on making sure we understand your business correctly.

Can you help clean up our existing data?

Yes. We assess your data quality during discovery and quote cleanup as part of setup. Common issues we fix:

  • Duplicate customer records
  • Inconsistent naming (United Kingdom vs UK vs Great Britain)
  • Missing or incorrect field values
  • Historical data that needs backfilling
  • Format inconsistencies (dates, phone numbers, addresses)

Cleanup is included in the setup fee (quoted after discovery). We don’t charge separately for data quality work.

Do we need to rip out our existing systems?

No. Qtell sits on top of your existing systems. Your team keeps using the tools they know. We just make those tools talk to each other and add intelligence on top.

Your CRM stays your CRM. Your marketing platform stays your marketing platform. We connect them, unify the data, and give you a layer where you can query everything in one place.

What if we're not ready for everything at once?

We typically recommend starting with:

  • Your CRM as the core
  • One or two marketing platforms
  • Basic attribution and reporting

Once you’re live and getting value, we add more systems, build more complex views, and layer on Ask Q and AI Insights.

Most customers expand their Qtell deployment over 3-6 months as they see what’s possible.

What is Ask Q?

Ask Q lets you query your unified data in plain English. Instead of learning SQL or waiting for someone to build a report, you type questions like:

  • “What’s our customer acquisition cost by marketing channel?”
  • “Show me revenue by location for the last quarter”
  • “Which lead sources have the highest conversion rate?”
  • “Compare this month’s pipeline to last month”

Ask Q understands your business context, queries your unified data, and returns answers as charts, tables, or exports. Multi-turn conversations let you drill deeper without starting over.

Ask Q is available as an £79/month add-on to any plan.

What are Q Insights?

Q Insights monitors your data continuously and surfaces what needs attention before you think to ask. Instead of checking dashboards daily hoping to spot changes, Q Insights tells you:

  • “Your pipeline conversion rate dropped 15% this week”
  • “Google Ads cost per acquisition is up 40% month-over-month”
  • “Location 3’s revenue is trending below forecast”
  • “New lead volume from organic search is unusually high”

Delivered via email, Slack and other tools. You act on what matters instead of hunting for problems.

Q Insights is available as a £49/month add-on to any plan.

How does attribution work?

Qtell captures marketing touchpoints (UTMs, GCLIDs, FBCLIDs) from the moment someone first interacts with your brand and follows them all the way to closed revenue.

We support:

  • First touch attribution
  • Last touch attribution
  • Multi-touch attribution (time decay, linear, position-based)
  • Custom attribution models

The key difference from platform-reported attribution: we track across your entire customer journey, not just what happens inside one platform. Google Ads doesn’t know about the webinar they attended. HubSpot doesn’t know about the Facebook ad they clicked. Qtell sees all of it.

Attribution is included in Professional and Group plans, or available as a £149/month add-on to Starter.

What is Lead Scoring and how does it work?

Lead Scoring uses signals from all your connected systems to prioritise which leads to contact first.

Traditional lead scoring only uses CRM data. Qtell looks at:

  • Demographic fit (company size, industry, location)
  • Behavioural signals (pages viewed, content downloaded, emails opened)
  • Engagement patterns (frequency, recency, depth of interaction)
  • Historical patterns (what do leads who convert look like?)

Scores update automatically as new data comes in. High-scoring leads get pushed to your CRM or synced to sales automation tools.

Lead Scoring is included in Professional and Group plans, or available as a £149/month add-on to Starter.

What is Data Activation?

Data Activation pushes intelligence back into the tools your team uses:

  • Lead scores synced to your CRM
  • Audience segments pushed to Facebook Ads, Google Ads, LinkedIn
  • Customer cohorts sent to your email platform
  • Alerts delivered to Slack
  • Enriched data flowing back to your CRM, or your marketing automation platform

Your team doesn’t need to log into another platform. The intelligence comes to them where they already work.

Data Activation is included in all plans.

Can we build custom dashboards?

Yes. While we provide 8 pre-built intelligence dashboards for your industry, you can request custom views. Common custom dashboards:

  • Executive summary (CEO view)
  • Event profitability analysis
  • Sales team performance
  • Multi-location comparison
  • Customer lifetime value by segment

Custom dashboards are quoted based on complexity. Simple views (reusing existing data, different visualisation) are usually included. Complex views (new data sources, custom calculations) are quoted separately.

Technical Questions

Which systems can Qtell connect to?

We connect to most business systems including:

CRM: Salesforce, HubSpot, Pipedrive, Zoho, custom systems
Marketing: Google Ads, Facebook Ads, LinkedIn Ads, Mailchimp, ActiveCampaign
Analytics: Google Analytics 4, Amplitude, Mixpanel
E-commerce: Shopify, WooCommerce, Stripe
Finance: Xero, QuickBooks, Sage
Operations: Eventworks, Planning Pod, event management systems
Output: Tableau, Power BI, Looker, Google Sheets, Excel

If you have a custom system or one we haven’t worked with before, we assess it during discovery. Most systems with APIs can be connected.

How does customer identity matching work?

We use deterministic and probabilistic matching to unify customer records across systems.

Deterministic matching: Exact matches on email, phone, or customer ID
Probabilistic matching: Fuzzy matching on name, company, address when exact matches aren’t available

We create a “golden record” for each unique customer that consolidates all their interactions across every system. J. Smith in your CRM, John Smith in HubSpot, and [email protected] in Google Ads all become one unified customer record.

You can review match confidence scores and manually merge or split records if needed.

How often does data refresh?

Starter: Daily refresh
Professional & Group: 1-hourly refresh

Critical data (new leads, form submissions) can be configured for near-real-time sync if needed. We discuss sync frequency during implementation based on your needs.

Where is our data stored?

Data is stored in your dedicated data warehouse hosted on Google Cloud (EU or UK regions, your choice). Your data never mixes with other customers’ data.

We manage the infrastructure, security, and backups. You retain full ownership and can export your data at any time.

Can we access the underlying data directly?

Yes. While most customers use Ask Q or our dashboards, you can connect directly to your data warehouse using:

  • SQL clients (if you have SQL knowledge)
  • BI tools (Tableau, Power BI, Looker)
  • Custom applications via API
  • Exports to Google Sheets or Excel

We provide read-only credentials during implementation.

What happens to historical data?

We backfill as much historical data as your source systems provide. Most CRMs and marketing platforms give us 12-24 months. Some systems (like Google Analytics 4) have shorter limits.

We discuss historical data requirements during discovery and confirm what’s available from each system before implementation.

Security & Data

How secure is our data?

Qtell is built on Google Cloud Platform with enterprise-grade security:

  • Encryption: Data encrypted in transit (TLS 1.3) and at rest (AES-256)
  • Access control: Role-based access, multi-factor authentication required
  • Infrastructure: Hosted in UK/EU data centers, SOC 2 Type II compliant
  • Monitoring: 24/7 security monitoring, automated threat detection
  • Backups: Daily automated backups, 30-day retention, point-in-time recovery

We can provide our security documentation and compliance certificates during procurement.

Who owns the data?

You do. Qtell is a data processor, not a data owner. Your data remains yours at all times.

Our contract explicitly states:

  • You retain full ownership of all data
  • We never sell or share your data with third parties
  • You can export your data at any time
  • If you cancel, we delete all data within 30 days (or return it to you if requested)

Are you GDPR compliant?

Yes. Qtell is fully GDPR compliant. We:

  • Act as a data processor under GDPR
  • Provide a Data Processing Agreement (DPA) with every contract
  • Store EU customer data in EU data centres
  • Support data subject access requests (SARs)
  • Implement right to be forgotten (data deletion)
  • Maintain records of processing activities

Our DPA covers all GDPR requirements and is available during contracting.

What happens to our data if we stop using Qtell?

When you cancel:

  • You keep access during your notice period (30 days)
  • We provide a full data export in standard formats (CSV, JSON, SQL dump)
  • You have 30 days to retrieve any additional data you need
  • After 30 days, we securely delete all your data from our systems

Your source systems (CRM, marketing platforms) are completely unaffected. Qtell only reads from them; we never modify or delete data in your source systems.

Can you sign our security questionnaire or NDA?

Yes. We routinely sign:

  • Non-Disclosure Agreements (NDAs)
  • Security questionnaires
  • Data Processing Agreements (DPAs)
  • Vendor risk assessments

Send them over during procurement and we’ll review and sign quickly.

Support

What support do you provide?

All plans include:

  • Email support (response within 24 hours)
  • Ongoing data monitoring and management
  • System updates and maintenance
  • Quarterly business reviews

Professional and Group plans add:

  • Faster email response (within 4 hours)
  • Slack channel access for quick questions
  • Monthly check-ins

Critical issues (data sync failures, system downtime) are handled immediately regardless of plan.

Do you provide training?

Yes. Training is included in implementation:

  • Initial training session (1-2 hours) for all users
  • Ask Q training for power users
  • Dashboard walkthrough for each team
  • Recorded training sessions you can reference later
  • Written documentation for common tasks

We also provide ongoing training as you add new team members or expand into new capabilities.
